More information
SNA moved to a new election services provider this year which enabled members to use single sign-on (SSO), meaning they could use their SNA username/password to vote in the election. On February 27, our election services provider applied a system-wide change to increase security. Specifically, they changed the ballot identifier key generation logic to be more consistent. The unique key logic is what allows the system to recognize when a user has already voted and prevent more than a single vote.

The change resulted in a second key being generated for all open elections with SSO. This meant, if anyone tried to vote again after the change was made, the vote would be allowed since the key matching logic did not recognize there was already a ballot submitted by that individual. The election services provider was notified of the issue at 1:20 p.m. on February 28th and resolved it by 2:12 p.m. the same day. In the period between the change being applied and fix implemented, SNA sent out a final email to remind members to vote, and there were 99 duplicate ballots submitted.

To remove the duplicate ballots, the election house used the original and second keys along with a unique identifier for each ballot to locate the second (duplicate) ballot and extract it from the system. This was completed without the results or ballot contents being visible to any individual. The election was closed as planned at 11:59 p.m. on February 28th and the results were reported to SNA. With the extraction of duplicates, we remain confident in the integrity and security of our election process.
